This is what surprises business owners most when I show it to them live. Their reaction is almost physical — a mix of disbelief and frustration. Disbelief because it really works. Frustration because they realise how many years they've spent without using what they already had.

Let's talk about your data. The data sleeping in your management software, your Excel files, your databases. The data nobody really analyses.

The gold mine you don't know you're sitting on

Most Italian SMEs are sitting on a mountain of business data. Ten years of invoices. Sales by customer, by product, by period. Costs by category. Order history. Supplier lead times. Margins by business line. Hours worked per project.

All recorded. All archived. And all essentially unused.

Why? Because getting value out of that data used to take a data analyst. Someone who could write SQL queries, build pivot tables and create dashboards. A specialist who costs money, has to be found and has to be managed. And who still works on specific requests, on their own timescale.

For an SME with 10, 20 or 50 employees, a dedicated data analyst often makes no economic sense. So the data stays where it is. Diligently recorded, rarely consulted.

What changes with AI

Generative AI can do something that sounds trivial but is revolutionary: read tables and answer questions in natural language.

That means you can connect a language model to your data — Excel files, databases, exports from your management software — and ask it questions as if you were talking to a person.

"Which customer gave us the highest margin in 2024?" — answered in 5 seconds.

"In which months did we go over the travel budget in the last 3 years?" — answered in 5 seconds, with a chart if you want one.

"Compare first-quarter sales in 2024 with the first quarter of 2023, by region." — comparison table ready.

"Which 10 products have the lowest margin? Which of those saw sales fall by more than 20%?" — instant cross-analysis.

It isn't magic. AI can read data structures and do calculations. What used to take technical skills and hours of work, a language model now does in seconds.

The critical step: the connection

If it's all so simple, why isn't everyone doing it?

Because there's an intermediate step that isn't trivial: making your data accessible to the AI. Out of the box, a language model doesn't know where your files are, how they're structured or what the columns mean. Someone has to do that connection work.

The good news is that it isn't a months-long job. In most cases, if your data is reasonably tidy — and in management software it usually is — the connection takes days, not weeks. It means setting up access to the data, defining the context (explaining to the AI what each field represents) and testing that the answers are correct.

Once that's done, you have a data analyst available around the clock who never takes holidays, never calls in sick and answers in seconds.

Data doesn't lie (but it has to be clean)

One point is worth stressing. AI that analyses your data is fundamentally different from AI that "makes up" answers (the problem of hallucinations).

When AI works on your real data, it does real calculations. It adds up real numbers. It compares real figures. The result is as reliable as the data it starts from. If your management software holds the right data, the AI's answers will be right.

The risk isn't that AI gets the sums wrong. The risk is that your data is messy, incomplete or inconsistent. That's a problem you'd have with a human data analyst too — AI just makes you find it much faster.

The right question to ask yourself today

The value of AI in your company is directly proportional to the quality and accessibility of the data you already have.

Before looking for "the perfect AI solution", ask yourself these questions:

Is my data in an accessible format (database, Excel, CSV), or is it buried in PDFs and scattered spreadsheets? Do the columns have understandable names? Is the data up to date and consistent? Can I export it easily from my management software?

If the answer is "yes, more or less", you're already 70% of the way there. The remaining 30% is connecting the AI and starting to ask questions.

If the answer is "no, it's a mess", your first investment isn't AI. It's putting your data in order. AI can help there too — but that's another article.

The takeaway

You already have the fuel. All you're missing is the engine. Your business data is the real asset — AI is the tool that finally lets you use it.

You don't need data scientists, and you don't need €50,000 dashboards. You need to connect a model to your data and start asking. The answers will often surprise you.
